Customer context

Before Osidoc's intervention, OVHcloud, a major European cloud provider, managed the drafting of its HR contractual documents using Microsoft Word templates. Each document—employment promise, employment contract, amendment, etc.—had to be manually edited by HR teams to be customized to individual situations.

 

This process was:

 

Long and time-consuming: Customizing templates required manual copying and pasting, which led to human errors and wasted time.
At risk: Using Word documents encourages divergent versions, with a risk of legal non-compliance if a template is not up to date.
Difficult to integrate with existing systems: The contractual process was not directly connected to electronic signature or HR document management tools, creating breaks in the processing chain.

The Osidoc intervention

To address these issues, Osidoc has been integrated into OVHcloud's HR processes to modernize and make contract management more reliable:


Automation of HR document drafting: Documents are now automatically generated via Osidoc from entered or synchronized data, eliminating manual formatting and verification tasks.
Connection to third-party tools: Osidoc has been connected to the electronic signature solutions (eSignature) and HR dematerialization tools used by OVHcloud, creating a fluid and 100% digital processing chain, from drafting to archiving.
Content security: All models are centralized and kept up to date in Osidoc, ensuring their legal compliance and consistency for each use.

The results

Accelerated processing times: Contract creation and validation time has been significantly reduced, allowing HR teams to focus on higher value-added tasks.
Enhanced legal security: Thanks to the centralization of models and automation, OVHcloud ensures the compliance of each document transmitted to employees.
